Job Posting – Facility Coordinator Position

Bezanson Agricultural Society is taking resumes for a part-time Facility
Coordinator.  This is a contract position beginning in April – September
for a maximum of 10 hours per week.  Position is dependent on facility
bookings and will include evening and weekend hours. Please send a resume including a cover letter to

Facility Coordinator

Responsibilities:  Oversee the successful and efficient operation and management of the Bezanson Agricultural Society facilities and bookings while ensuring an optimal and safe environment.

Management Tasks:

Facility Maintenance

  • Weekly walk-through the facility and record any maintenance requirements
  • Maintain building standards and follow-up on inspection deficiencies
  • Coordinate compliance of service contracts
  • Contact appropriate contacts to ensure the maintenance and upkeep is performed in a timely manner.

Safety

  • Record and file all maintenance, warranties, monthly, quarterly and yearly safety checks
  • Ensure updating, implementation and recording of safety/maintenance policies, procedures, guidelines, protocols and manuals
  • Ensure all safety codes are adhered to by all user groups and rentals
  • Record any accidents and/or safety violations for the Executive Director and/or Board of Directors to review

Alarms

  • Responsible for maintaining fobs and codes for all users
  • On call for any alarm violations

Facility Use

  • Stay informed of all bookings
  • Oversees and responsible to update and keep the janitor and bar management informed of all bookings and facility usage
  • Ensure facility is clean and available for use for all rentals and user groups
  • Ensure all requirements as deemed in rentals contracts are handled for each booking including set up, tear down, any necessary equipment for the booking
  • Review all checklists from Bookings Walk-through prior to facility rental/use
  • Ensure that the facility is opened and closed for each booking
  • Be present or available for facility bookings that require equipment set up/tear down
  • Ensure that the user group knows and adheres to facility requirements
  • Ensure that users/rentals have fobs, keys and alarm codes and know how to use them
  • Perform a walk-through after each use and record findings on the appropriate forms
  • Advise the Executive Director and Administrator of any findings prior to the final invoicing and issuing damage deposit to renter
  • Maintain an inventory of all equipment following use of facility

Manage bookings and schedules using the facility bookings software (PerfectMind)
